To have a domestic Japan Post item held at a chosen post office from the outset, use 郵便局留 — kyokudome. Agree on the exact office with the sender before posting, include your own recipient details, and plan to collect it yourself. This is a different starting point from receiving a missed-delivery notice at home.

Choose the office before the sender writes the label

Japan Post’s kyokudome instructions say no advance application is required and there is no handover fee. The sender still pays the postage for the underlying mail service. Kyokudome does not make an otherwise unsuitable item acceptable for posting.

Choose an office whose postal counter you can actually visit. Save its exact Japanese name and check its counter hours in Japan Post’s office search. Do not choose only by distance: an office near work may be inconvenient if its postal counter is closed whenever you are free.

This guide covers ordinary domestic kyokudome arrangements. A retailer’s checkout pickup option, identity-restricted delivery and another courier’s collection service can have different rules.

Keep the post office and recipient details separate

Japan Post asks for the chosen office’s postal code, its name followed by 留, and the recipient’s own address and name. Yu-Pack and similar labels also need the recipient’s telephone number. A post office name alone is not a complete recipient address. Source: address instructions

Use this as an annotated field plan, not a ready-to-mail label:

Ask the sender to send you the written address for a check before dispatch. Look for swapped names, a similarly named branch, or your home postal code copied into the office-code position.

There is a specific exception when posting through a convenience store: Japan Post instructs senders to use the office area’s postal code and put its prefecture and municipality before the office name. Follow that version of the official addressing instructions if it applies; do not mix the two formats.

Arrange your own arrival check

Japan Post says it does not send an arrival notification for kyokudome. If the underlying service has tracking, obtain the number from the sender and use it to check arrival. Do not assume that buying stamps or addressing an ordinary letter to a post office adds tracking. Source: receiving instructions

A useful arrangement with the sender is: “Please tell me when you have actually posted it, which service you used, and the tracking number if there is one.” An estimated dispatch date is less useful than confirmation that the item entered the mail.

Count ten days from the day after arrival

Japan Post’s holding-period FAQ specifies ten days starting on the day after the item arrives at the office. This is not ten days from when the sender posted it or from when you first looked at tracking.

For a hypothetical item arriving on October 2, October 3 is day one and October 12 is day ten. That calculation identifies the period; it does not establish the counter’s opening hours on October 12. Plan an earlier visit and check with the holding office if the last day is unclear. Uncollected items are returned after the period described in the service instructions.

Bring identification and the item’s details

Japan Post’s collection FAQ asks for identification confirming the recipient’s name and address. It also lists a personal seal, with a signature accepted if a seal is unavailable. A missed-delivery slip is required for collection following a failed home delivery, not as a document you must somehow create for a planned kyokudome item.

At the counter, you can say:

郵便局留めの郵便物を受け取りたいです。

“I’d like to collect an item held here as kyokudome.”

Have your name, the mail service and any tracking number ready. This guide concerns the named recipient collecting their own item. If your identification lacks address information, or you are a visitor using a temporary address, confirm acceptable documents with the chosen office before asking someone to mail the item. The FAQ’s examples do not prove that every foreign passport by itself will satisfy every case.

Check whether this plan fits your dates

Suppose you are only near the office for one afternoon. A plan that depends on exact arrival that morning has little margin for delay. Choose dates and a location that let you make more than one possible visit, or agree on another receiving arrangement with the sender before posting.
