An ordinary domestic letter or postcard cannot be tracked through Japan Post’s online tracking service. However, “no tracking number” does not mean there is no way to ask about a missing item. Japan Post’s English FAQ directs people expecting mail that has not arrived to their nearest post office and describes an investigation process. Tracking service: ordinary letters and postcards · Japan Post: an expected item has not arrived
This guide is for mail sent within Japan. International inquiries have different rules and are not handled through the domestic online route described below.

Distinguish tracking from investigation
Tracking retrieves recorded events for an eligible item. An investigation asks Japan Post to look into a problem; its FAQ says the offices involved in the item’s route are checked and the result is reported to the customer. This is a different process from entering an address into a tracking box. Japan Post’s investigation explanation
First establish what was actually sent. Ask the sender whether it was an ordinary stamped envelope, registered mail, a Letter Pack or another service. A shop’s order number is not evidence that the letter has a postal tracking number.
If there is a postal tracking number, keep it with the other information and use the appropriate tracking service. If it was genuinely ordinary mail, repeatedly trying unrelated numbers will not create a tracking history.
Build a short factual note
Before asking for an investigation, write down what you and the other party actually know. The following is an editorial preparation aid, not a reproduction of mandatory form fields.
| Detail | Useful way to record it |
|---|---|
| Posting date and approximate time | Give a date; label an estimate as an estimate |
| Posting location | Identify the post office or mailbox as precisely as possible |
| Sender and recipient | Copy the names and addresses as written on the envelope |
| Appearance and contents | Note size, colour, markings and a factual description |
| Evidence already available | Keep a photo of the addressed envelope or posting receipt, if one exists |
| What has been checked | Record checks for returned mail or receipt by someone at the destination |
Share personal addresses and documents through Japan Post’s official process, not a public discussion thread. If a photograph does not exist, do not recreate one and present it as a photograph of the posted item.
Choose the route by how much you know
Japan Post provides a Japanese-language online entry page for domestic mail investigations. It excludes international mail and says to contact a nearby post office when posting details such as the date or location are unknown. It also directs urgent cases to a nearby post office. Official domestic investigation entry page
The same page explains that an online request is handled initially by the post office serving the applicant’s address, which may ask about unclear details. It also provides a route to check the status of an online investigation. Keep the acknowledgement information supplied after a request; do not confuse that case information with tracking events for the original letter.
We read the public instructions but did not submit a request or test the complete form. We have not verified that the process can be completed in English.

A missing-letter scenario with one unknown
Suppose, hypothetically, a sender remembers posting a blue envelope on Tuesday evening near a station but cannot identify which mailbox they used. The recipient has not received it.
A useful note preserves the uncertainty: “Tuesday evening, exact mailbox unknown.” Inventing a precise mailbox makes the account less reliable. The published instructions give this person a practical next step—bring the known details to a nearby post office instead of guessing in the online process.
A simple sentence to show at the counter is:
国内の普通郵便が届いていません。追跡番号はありません。調査について相談したいです。
This means: “An ordinary domestic postal item has not arrived. There is no tracking number. I would like to ask about an investigation.” It is an editorial translation aid, not official form wording.
An accepted request is not proof that the item has been found. The sources checked do not establish a guaranteed completion time or recovery result for an individual case. If the missing item affects a deadline, separately ask the recipient or issuing organisation what replacement arrangements it permits; the postal inquiry itself does not extend that deadline.
