If your Japan Post notice says 本人限定受取, do not assume your partner can collect the item simply because you live together. This service limits handover to the named addressee or, for eligible types, one substitute designated by the sender. The 特定事項伝達型 type does not allow that substitute. Start by identifying the service type on your notice. Japan Post: restricted delivery

This guide covers receiving domestic restricted-delivery mail in Japan. It is desk research, not a tested collection or guidance about obtaining an identity document.

Match the type to the collection arrangement

Japan Post describes three types:

Japanese name Handover arrangement
基本型 — basic type Postal counter
特例型 — special type Postal counter or delivery to the addressee
特定事項伝達型 — specified-information transmission type A designated postal counter or delivery to the addressee

Read the arrival notice’s instructions before choosing a location. The basic type is not converted into home delivery just because that would be more convenient. For the other types, arrange the available option through the contact route on the notice. Japan Post: comparison and receiving instructions

The practical question to ask is: “Which type is this item, and what collection or delivery arrangement applies to this notice?” That is more useful than asking only whether someone is home tomorrow. Keep the item reference available when contacting the handling office; you do not need to post a photograph of the whole notice online.

Check your document against the correct list

Japan Post publishes a separate identification list for each type. For 特定事項伝達型, the document must be valid on receipt, include a photograph, and show the name, address and date of birth. Residence cards are on the list. A passport is listed only with the specified holder-information section and an address entered. Do not assume every passport meets those conditions. Japan Post: accepted identification by service type

This creates a useful two-stage check: first identify the service, then examine the document you actually plan to bring. Starting with “I always use my passport” reverses that order and can leave the important condition unchecked.

For example, hypothetically, a recipient has a passport without the required address section and a valid residence card showing their current details. The postal list provides a reason to examine the residence-card option for this type instead of relying on the passport alone. This example does not certify that any particular person’s document or mailing address will be accepted.

Compare the address before travelling

For 特定事項伝達型, Japan Post warns that differences such as a new address on the mail but only an old address on the ID can prevent handover. It does not resolve failed identification for this type through additional documents or oral questions. Japan Post: identification mismatches

Use a simple pre-visit comparison:

  • Which name and address did the sender use?
  • Which name and address appear on the proposed ID?
  • Does the notice identify a particular office and deadline?

If the first two do not match, contact the handling office and sender before travelling. Do not assume that explaining a recent move at the counter will solve it. If the sender used outdated information, ask what correction or reissue process is available; that process belongs to the sender and is outside this guide.

Prepare for the handover, not just the journey

For counter collection, prepare the arrival notice, eligible ID and a seal or signature; signatures are accepted. For 特定事項伝達型 counter collection, the arrival or missed-delivery notice is required. Follow the item-specific instructions rather than substituting ordinary-parcel pickup advice. Japan Post: what to prepare

An English-speaking couple could divide the preparation work: one person helps read the notice, while the named recipient checks their own ID and attends the required handover. Helping interpret the notice is different from being authorized to receive the item.

The decision is therefore not simply “home or counter.” Establish who can receive it, which type was used, whether the ID meets that type’s conditions, and only then choose the available arrangement. Individual acceptance, office opening hours and the sender’s correction process remain to be confirmed for the actual item.
